A conversation with Mr. Sherwin O, President of CIIT College of Arts and Technology, on how implementing an efficient and intelligent automated student advising system addresses many of the challenges and bottlenecks faced by schools.

CIIT prides itself on being progressive, with a core focus on rapidly adopting the latest systems, processes, and innovative policies. Among colleges and universities, it is widely regarded as one of the most automated schools in the country.
The Challenge: Managing Irregular Students
In the early years of CIIT, the school faced a significant challenge that became the domino effect for many of its operational struggles—student advising. Over 50% of the students enrolled at CIIT were considered "irregular," meaning they were not following a steady academic track. On top of that, CIIT hit another roadblock: figuring out which courses these students should take.
CIIT attempted to build an internal system to streamline the advising process. However, after investing nearly 2M Pesos and a year and a half of effort, the result fell short of expectations, and the project was scrapped. This led CIIT to explore existing school management systems on the market.
The Edusuite Advantage: Automated Student Advising and Auto-Scheduling
CIIT's pivotal decision was to adopt Edusuite and commit fully to its student advising system. The management team agreed: there would be no fallback plan. Traditional enrollment methods were retired. Everyone had to adapt, quickly. Two features made the biggest impact:

Automated Student Advising
This assessed each student's academic history and generated accurate, personalized course recommendations.

Auto-Scheduling
This eliminated the time-consuming back-and-forth of creating class schedules, streamlining the process for both admin and faculty.
What truly made Automated Student Advising the cornerstone of operations is how it served as the first domino that triggered improvements across the entire academic and administrative system. With each student advised by the system—taking into account passed and failed subjects, prerequisites, and curriculum flow—CIIT was able to eliminate the need for pre-enlistment entirely. Instead, the system automatically enlists students in the subjects recommended to them, generating a conflict-free schedule with the appropriate class sections and room assignments.

This early advising also allowed CIIT to forecast demand and plan ahead. HR can assign or begin hiring faculty for English 2, knowing exactly how many sections will be needed. At the same time, the Facilities team can prepare a sufficient number of classroom laboratories for Science 2 based on accurate enrollment projections.

The Results: Operational Efficiency,
Enhanced Student Experience
Edusuite’s impact was immediate. Tasks that previously took hours or days—like manual planning and coordination—were efficiently managed by the new system, freeing deans, program heads, and registrars to concentrate on academic planning and student support. The system's flexibility also allowed students to adjust their subject loads based on their budgets, which has helped reduce dropouts due to financial constraints.
As a result, CIIT now maintains an impressive average 96% retention rate per term, far outperforming the industry average where schools typically lose around 10% of students each semester. CIIT’s drop rate dropped from 8% (2015–2016) to 7.3% (2018–2019), and further to 2.1% with Edusuite—keeping 98% of students enrolled. Smarter advising and course matching boosted retention, recruitment, and learning quality.
Without Student Advising, everything else is impossible.
Edusuite’s Student Advising has become central to CIIT’s operational success, allowing the school to plan months ahead and solve challenges like classroom use, faculty scheduling, and financial forecasting. Early, automated advising predicts class demand and ensures efficient resource allocation, while also helping students and families—especially those on tight budgets—prepare in advance.
Traditional systems like pre-enlistment, long queues, and block sections were built for a pre-digital era, putting admin needs over student experience. Today, platforms like Edusuite is no longer optional—they’re essential for schools to prioritize both efficiency and the student journey.
