CASE STUDY | KING'S COLLEGE OF THE PHILIPPINES (KCP)

From Building Systems, to Building Leaders

By partnering with Edusuite, King's College of the Philippines (KCP) moved beyond the immense challenge of building and maintaining an in-house system. This strategic shift didn't just streamline core operations – Registration, Finance, and Scheduling – it enabled KCP to build a truly modern educational environment by redirecting its focus from software development back to its fundamental mission: academic excellence.

About King’s College of the Philippines (KCP)

King’s College of the Philippines (KCP) is a mission-academic institution under the Northern Luzon Presbyterian Church. Founded in 2003 in La Trinidad, Benguet, KCP serves a growing student body of over 4,000 students and is committed to nurturing their academic growth, responsibility, and service to others, staying true to its mission of faith and education.

To get an inside look at this transformation, we spoke with Mr. Ginard S. Guaki, the CIT Dean and Director of Technology Innovations and Resources at King's College of the Philippines. As the project owner for the Edusuite implementation, he has guided the partnership from the very beginning, offering a unique perspective on the college's journey.

The Challenge: The Strain of Acting Like a Software Company

As King's College of the Philippines expanded, it recognized that the very systems that supported its early success were becoming a bottleneck. The college was dedicating significant resources to managing separate tools – including Microsoft Access databases, a web-based system, and manual Excel spreadsheets. This created data silos and diverted valuable focus away from core academic priorities. "Every time you gather the data, you need to countercheck with somebody else," Mr. Guaki recalled.

The disconnect caused significant bottlenecks, from financial records not matching student payments to inaccurate subject lists during enrollment. The situation intensified when the school managed its previous software in-house. "The in-house developer was the technical support as well," Mr. Guaki explained, creating an unsustainable process where a single person was responsible for both development and support.

It was a tipping point born of success. The administration recognized that the time, energy, and resources spent trying to build and maintain systems were detracting from their true purpose. Mr. Guaki saw the fundamental disconnect clearly.

"I kept saying that we are not a [software] development company. We are an academic institution. We need to focus on being an academic institution."
