Online Payments, Enhanced Reports, and More: What’s New in Edusuite Admissions

Our latest updates for Edusuite Admissions are focused on making the journey from applicant to enrolled student smoother than ever. Following our previous updates to school directories and system transfers, we’ve spent the latter half of 2025 introducing integrated online payments, more powerful data extraction tools, and critical security enhancements to keep your institution’s data safe.

Here are the major highlights from our H2 2025 releases:

1. Seamless Online Payments via Xendit

We’ve integrated with Xendit to bring fully automated online payments to your admissions process. Applicants can now pay their admission fees directly through the portal using various methods, including E-wallets (GCash, Maya, GrabPay), Retail Outlets (Cebuana, LBC), and Direct Debit (BPI, Unionbank).

No More Manual Validation: Once a payment is successful, the system automatically updates the applicant's status, removing the need for manual verification by cashiers.
Real-time Tracking: Admins can view "Payable Details" within the registration data, including the payment reference number and transaction timestamps.
New Status Indicators: We’ve added new statuses like "Expired" and "For Review" to the Payables section to help both applicants and admins track payment progress clearly.

2. Advanced Applicant Data & Recommendation Reports

Managing large volumes of data is now easier with our enhanced reporting tools. We have introduced more granular controls and new templates to help you extract the exact information you need.

Customizable Extractions: When generating reports, admins can now select specific fields to extract, such as "Payment Status," "Payment Mode," and "Amount."
Recommendation Letter Data: A dedicated report is now available for tracking recommendation progress. It includes the recommender's name, position, contact details, and the date the recommendation was submitted.
Predefined Exam Templates: Two new templates—"All Examinees with Session" (with and without photos)—allow administrators to quickly download lists of applicants with assigned exam schedules.

3. Upgraded Exam Permit (Layout 3)

We’ve added Layout 3 to our Exam Permit options, offering schools more flexibility in how they communicate testing details to applicants.

Adjustable Page Size: Admins can now choose between Letter or Legal paper sizes.
Increased Character Limit: This layout provides more room for detailed instructions and reminders for the examinees.
Dynamic Data: Permits automatically populate with essential details like the applicant's name, grade level, test date, venue, and room number.

4. Critical Security & Performance Enhancements

To ensure the highest level of data protection and system reliability, we’ve implemented several backend improvements:

Brute-Force Protection: Rate limiting has been implemented to mitigate potential security attacks.
Infrastructure Monitoring: We’ve integrated with Datadog for real-time cloud-based monitoring and analytics.
Optimized Workflows: A separate queue for notifications ensures that high-volume tasks, like generating large reports, don’t delay automated email notifications.

Other Notable Enhancements

Applicant Portal Updates: Applicants can now update their preferred programs or grade levels/strands up until the "For Review" step.
Admin File Management: A new privilege, "File Downloads Page - View All," allows authorized admins to see and manage all generated reports in one central location.
Dynamic Search: The search bar in User Setup is now dynamic, allowing for faster navigation across admin accounts.
